Billing & Invoicing Automation
Close the gap between finished work and money in the bank. AdventEdge builds billing systems that create invoices from completed jobs, follow up on overdue accounts on a set schedule, and reconcile payments back to your books.
Overview
The job wraps Thursday. The ticket sits in a truck until Monday. The invoice goes out the following week, and the first reminder goes out whenever someone remembers. Every day in that chain is a day your cash sits in someone else's account.
It's common. Atradius's 2024 payment-practices survey found 46% of B2B invoices in Canada were paid late. Much of that delay is process, not bad customers — invoices that go out late, reminders that never go out, and payments nobody matched.
Billing automation removes the manual steps. A completed job, delivery, or field ticket triggers the invoice. Reminders go out on a cadence you set — email, text, or both — and escalate to a person when an account needs a phone call. Payments are matched back to the invoice in QuickBooks Online or Xero.
Built inside your own accounting system and automation accounts. You own every workflow, and nothing goes to a customer without rules you approved.
When it fits
- Invoices go out days or weeks after the work is finished
- Someone on your team spends hours a week chasing overdue accounts

- Automated invoice creation from your job, ticket, or delivery data
- Reminder and escalation cadence configured to your payment terms
- Payment matching back to QuickBooks Online or Xero
- Testing on real invoices, in parallel with your current process, before go-live

What gets automated
Every billing system is scoped to how your business actually bills. These are the components most projects are built from.
Job-to-invoice
A completed job, signed ticket, or delivery record creates the invoice automatically — line items, rates, and tax included.
Recurring & progress billing
Service contracts, retainers, and progress draws invoiced on schedule without anyone setting a reminder.
Collections cadence
Courteous reminders before and after the due date by email and text, escalating to a named person when an account crosses the line you set.
Payment matching
Card, Stripe, and e-transfer payments matched to open invoices and marked paid in your books.
Receivables visibility
An aged-receivables summary delivered to the owner and bookkeeper daily or weekly.
Customer statements
Monthly statements generated and sent to every account with an open balance.

How it works
Scope. A free 30-minute call maps how a job becomes an invoice today — the tools, the hand-offs, the delays. You get a written recap and a fixed quote within 24 hours.
Build. The system is built inside your accounting software and your own automation account. Every rule — when an invoice is created, when a reminder fires, when it escalates — is set to your terms.
Test and launch. The system runs alongside your current process on real jobs before it takes over. Nothing reaches a customer until you've approved it.
Run. You own it outright. Monitoring and ongoing tuning are available through Always-On AI if you want them.
Common questions
Doesn't QuickBooks already send invoice reminders?
QuickBooks Online and Xero both include basic payment reminders, and if those cover what you need, you don't need this service. Billing automation goes further: invoices created automatically from completed jobs, tickets, or deliveries; email and text cadences; escalation to a person by account; and payments matched back to the right invoice.
Which accounting systems does it work with?
QuickBooks Online and Xero are the most common. Other systems are checked on the scoping call — if a reliable connection isn't possible, you'll hear that before you pay anything.
Will automated reminders annoy my customers?
Not when they're set up properly. The cadence, wording, and escalation rules are yours, messages are written in your voice, and accounts that need a personal call are flagged to a person instead of getting another email.
How much does billing and invoicing automation cost?
It's quoted per project, because every business's systems and volumes are different. After a free 30-minute scoping call you get a written recap and a fixed price within 24 hours — 50% up front, 50% on delivery. No surprises.
