AI Document Processing
Paper and PDFs still run the field. AdventEdge builds document pipelines that read tickets, delivery slips, work orders, and timesheets, and turn them into structured data your systems can use.
Overview
A driver hands in a stack of tickets at the end of the week. A foreman snaps a photo of a signed work order. A supplier sends a bill of lading as a crooked scan. Every one of them has to be read and re-typed before anyone can bill, pay, or report on it.
Current AI models read these documents the way a person does — handwriting, stamps, and inconsistent layouts included — and pull out the fields that matter. Each extraction is checked against rules you set, and anything uncertain goes to a person for review.
The output goes where it's needed: invoice lines in QuickBooks or Xero, hours in your payroll export, records in your job or dispatch system, or a clean spreadsheet.
When it fits
- Field tickets, delivery slips, or timesheets get re-typed every week
- Billing waits on paperwork coming back from the field
- Documents arrive as photos, scans, and PDFs in every format imaginable
- Hand-keyed errors cause billing disputes or payroll corrections
What's included
- Document review — a sample of your real documents and where the data needs to go
- An extraction pipeline tuned to your formats, including photos and handwriting
- Validation rules and a human-review queue for low-confidence fields
- Output to QuickBooks, Xero, Google Sheets, Excel, or your job system
- Accuracy testing on a batch of real documents before launch
- Documentation and a walkthrough for your team
Common document types
If a person can read it, the pipeline can usually be built to read it. These are the documents that come up most.
Field tickets
Hours, equipment, rates, and sign-offs from service tickets turned into invoice lines.
Bills of lading & delivery slips
Shipper, consignee, weights, piece counts, and proof of delivery captured and filed.
Work orders
Job number, labour, materials, and completion notes pulled into your job records.
Timesheets
Hours by employee and job, checked against the schedule and exported for payroll.
Supplier invoices & receipts
Line items and tax extracted for accounts payable and expense tracking.
Forms & applications
Customer, credit, and onboarding forms turned into CRM or spreadsheet records.

Build. The pipeline is tuned to your formats and connected to the system the data needs to land in.
Test and launch. A batch of real documents runs through and is checked field by field. Accuracy is measured, not assumed.
Run. You own the pipeline. Optional monitoring and tuning through Always-On AI as formats change.
Common questions
Can AI read handwritten field tickets?
Usually, yes. Current AI models handle handwriting, stamps, and inconsistent layouts well, but accuracy depends on document quality. That's tested on your real documents before you commit, and low-confidence fields always go to a person for review.
Where does the extracted data go?
Wherever it's needed: invoice lines in QuickBooks or Xero, hours in a payroll export, records in your job or dispatch system, or a Google Sheet or Excel file.
What about data privacy?
Documents are processed through an AI provider's business API and the results are stored in your own systems. If your industry has specific privacy or data-residency requirements, raise them on the scoping call — they're accounted for in the design, or you'll be told plainly if a requirement can't be met.
How much does AI document processing cost?
It's quoted per project, because every business's systems and volumes are different. After a free 30-minute scoping call you get a written recap and a fixed price within 24 hours — 50% up front, 50% on delivery. No surprises.
