Speed to lead is the time between a prospect reaching out — a web form, an email, a call, a chat — and your business responding. It's one of the few sales metrics that's entirely in your control, and one of the most neglected.
What the research says
A Harvard Business Review study of 2,241 U.S. companies found the average response time to an online lead was 42 hours, and nearly a quarter of companies never responded at all. Companies that replied within an hour were nearly seven times more likely to qualify the lead than those that waited even one hour longer, and dramatically more likely than those that waited a day.
The logic is simple. A prospect who just filled in your form is thinking about the problem right now. A day later they've moved on, or they've filled in two other forms.
Why most businesses respond slowly
- Inquiries arrive through too many channels — website, email, phone, Facebook, Google — and nobody owns all of them.
- Leads come in after hours and on weekends, when nobody is watching.
- The person who should reply is on a job site, in a meeting, or on the road.
- Forwarding a lead to 'the right person' adds a day.
What a good automated response looks like
An instant reply only helps if it's useful. A generic 'Thanks, we'll be in touch' buys a little time. A reply that answers the actual question, sets an expectation, and offers a next step buys the conversation. A good first response:
- Arrives within a minute, by the channel the prospect used — email for a form, text for a missed call.
- Is written in your voice and references what they asked about.
- Says who will follow up and when.
- Offers a direct next step: a booking link, a phone number, or a quick qualifying question.

Track two numbers: median time to first response, and conversion rate by lead source. Most businesses that measure response time for the first time are surprised by it. Most that automate the first reply see it drop from hours to under a minute.
